What we collect
The contact form asks for your name, organisation, role, email address, enquiry type and message. Phone number and council area or location are optional. We also record when the enquiry was sent, your acknowledgement of this notice, the notification state, and a one-way hash of the network address used to limit repeated or abusive submissions. Please do not include passwords or sensitive personal information in your message.
Why we use it
We use this information to understand and respond to the enquiry you chose to send, manage any relevant follow-up, and protect the form from misuse. Our lawful basis under the UK GDPR is our legitimate interests in handling requested enquiries and keeping the website secure. This is a limited use that someone contacting us would reasonably expect. We do not use contact-form details for marketing unless there is a separate lawful basis or consent for that purpose.
Storage, recipients and transfers
Enquiries are stored in the Help Us Fly application database on our VPS and accessed by authorised AI Diagnostic Systems Ltd staff. Our VPS hosting and encrypted off-VPS backup providers process data needed to host and protect the service. We send an email notification containing the enquiry through Resend, our email delivery provider. We do not sell or publish enquiry details.
Resend states that its main email processing takes place in the United States. Its published data processing addendum describes safeguards for relevant UK transfers, including the UK addendum to standard contractual clauses. Contact us if you would like more information about this transfer.
How long we keep enquiries
We normally retain contact-form enquiry data for up to 12 months from the last meaningful contact. After that, we delete or anonymise it unless the enquiry has become an active business, council, cohort, contractual or supplier relationship; retention is required for legal, accounting or regulatory purposes; or the information is reasonably needed to establish, exercise or defend legal claims.
Where an enquiry becomes part of an active engagement, relevant information may be retained in the appropriate business or contract record under the retention rules for that relationship. Deleted enquiry data may remain temporarily in routine backups until those backups expire through the normal backup cycle.
Your rights
Depending on the circumstances, you may ask to access, correct or erase your personal information, or to restrict its use. Other rights, including data portability, may apply in some circumstances. We will consider requests under the applicable law.
Your right to object: You can object to our use of your information where we rely on legitimate interests. We will consider your objection under the applicable law.

Complaints
